When we refer to "we", "us", "our", or "Vip Tralux ", we are talking about Vip Luxury Travel Advisor., a Texas-based company. When we mention "you", "customer", or "traveler", we are referring to the individuals who visit our website, use our services, and make reservations through our customer service agents.

1.Participation and payment processing 

To secure your booking, a deposit of 35% is necessary. Payment can be made using a credit card, certified check, wire transfer, or money order. The remaining balance must be settled 90 days before your departure date. If you book within 90 days of departure, the full cost of the trip is required at the time of confirmation.

2. Cancellation

Cancellation of confirmed reservations will incur a $450 per person administrative fee. Clients may also be subject to additional cancellation fees imposed by service providers such as hotels, rail companies, or airlines included in the itinerary.
If a cancellation is made 90 days or more before the departure date, a full refund will be issued, minus the $350 administrative fee. Cancellations made between 60-89 days prior to departure will result in the loss of the deposit, which is 30% of the total trip price.
Cancellations made between 30-59 days before departure will result in the loss of 50% of the program price. Any cancellations made 29 days or less before departure will result in the forfeiture of the entire program price.

3. Trip Insurance

We highly recommend purchasing trip cancellation insurance, which provides coverage for expenses related to cancellation due to illness or accident. Baggage insurance is also advised. In the unfortunate event that you need to cancel your participation in a travel program, trip cancellation insurance may be your only means of reimbursement.
Please note that Vip Tralux is currently only authorized to sell travel insurance to US passport holders with a US residential address. By purchasing travel insurance from Vip Tralux, clients confirm that they are US passport holders with a US residential address. Vip Tralux will not be held liable for any false or inaccurate representation made by clients in this regard.

4. Passports and Visas

In order to travel to most destinations, it is essential to have a valid passport. It is recommended to verify the latest visa requirements by contacting the appropriate consulate or embassy.

5. Baggage 

Weight restrictions may be enforced on internal flights. Baggage and personal belongings are the responsibility of the owner throughout the duration of the travel program. It is advisable to consult with the airline regarding any additional baggage restrictions that may apply to both internal and international flights.

6. Changes

Prices for our tours are determined by current exchange rates, tariffs, and taxes. Vip Tralux retains the right to adjust tour prices to account for any increases in costs, tariffs, or taxes, as well as to reflect changes in foreign exchange rates. Additionally, we reserve the right to cancel a tour or modify the itinerary or inclusions as needed, passing on any additional expenses or losses resulting from unforeseen delays or events beyond our control to tour members.
Please note that itineraries and scheduled sightseeing activities may be subject to change at any time due to unexpected circumstances or events beyond our control. While we strive to adhere to the planned tour schedule, adjustments may be necessary after the final itinerary has been distributed.

7. Promotional Photography

Vip Tralux is reserves the right to capture photographs during the operation of any program or part thereof, and to utilize them for promotional purposes. By booking a reservation with Vip Tralux, program participants consent to the use of their images in such photographs. Participants who do not wish to have their images used are kindly requested to inform their travel program leader at the start of their program. 

8. Claims and Refunds

Refunds will not be issued for any missed services, unless under exceptional circumstances that can be verified. Please refer to our Limits on Responsibility section for more information. In order for verifiable claims to be reviewed, they must be submitted in writing within 30 days of the program's conclusion, along with supporting documentation or a statement from the Operating Company confirming the claim. Any potential adjustments will be calculated based on the actual cost of the services provided, rather than on a daily basis. Please note that adjustments will not be made for unused sightseeing trips or meals.

It is important to emphasize that Vip Tralux will not be held liable for any claims submitted after the 30-day deadline following the conclusion of your travel program. Any claims related to missed days during travel must also be submitted in writing within 30 days of the program's termination.

9. Air Transportation 

Vip Tralux is not liable for any errors or mistakes in airfare bookings made by third-party agents. Travelers will receive detailed tour information on their confirmed web page and are responsible for ensuring the accuracy of their arrival and departure flight details. Independent agents will secure the best-priced airfare in the requested class category at the time of booking, with some fares subject to service fees. Cancellation penalties may apply if changes are made to air reservations before or after departure.
Airlines are not responsible for events that occur while passengers are not on board their aircraft. These programs may utilize the services of IATA carriers, with international carriers being subject to liability limitations outlined in international air conventions. The terms and conditions of this package, including liability limitations, are detailed on the reverse side of the airline ticket. The passage contract issued by these companies will serve as the sole agreement between the companies and travelers participating in these travel programs.

10. Limits on Responsibility

Vip Tralux, its employees, officers, directors, successors, agents and assigns, does not own or operate any entity which is to or does provide goods or services for your trip. It purchases transportation (by aircraft, coach, train, vessel or otherwise), hotel and other lodging accommodations, restaurant, ground handling and other services from various independent suppliers (including from time to time other affiliated Vip Tralux companies). All such persons and entities are independent contractors. As a result, Vip Tralux is not liable for any negligent or willful act of any such person or entity or of any third person.

Vip Tralux acts as an agent for clients in arranging transportation, accommodations, and other tour details. We take every reasonable precaution to ensure the safety and satisfaction of travelers. However, Vip Tralux does not accept responsibility for any injuries, damages, losses, accidents, delays, or other issues related to transportation services or actions of third parties involved in the tours.

We are not liable for any additional expenses, damages, or losses resulting from cancellations, delays, or changes in services due to various factors beyond our control, such as weather, strikes, war, terrorism threats, or acts of God. Travelers are responsible for any losses incurred, and tour rates cover only the specified time frame.

Vip Tralux  is not responsible for delays, changes, or costs associated with incorrect, incomplete, or expired traveler documents. In the event of cancellations or rescheduling beyond our control, travelers may choose to accept a rescheduled tour or alternative options offered or receive a refund of advance tour payments recovered on their behalf.
We reserve the right to modify tour itineraries, substitute accommodations or transportation, as needed. Vip Tralux prioritizes the safety and satisfaction of our clients, and we strive to provide memorable and enjoyable travel experiences. Vip Tralux will not have any obligation or liability to the traveler beyond the aforementioned. Vip Tralux reserves the right to make changes to the tour itinerary and to substitute hotels, vehicles, ships, or activities if necessary. Additionally, Vip Tralux reserves the right to cancel, delay, or reschedule any tour before departure. In such cases, as long as it is not due to circumstances beyond our control, the passenger will be entitled to a full refund of all payments made up to that point if they choose, minus any non-refundable deposits or expenses incurred.
Vip Tralux shall not be held liable for any injury, loss, inconvenience, delay, or damage to personal property arising from the provision of goods or services. This includes, but is not limited to, acts of God, force majeure, illness, disease, war, civil unrest, insurrection, animals, strikes, criminal or terrorist activities, overbooking, downgrading of services, food poisoning, mechanical failures of aircraft or other transportation, or transportation delays.
Risks: Adventure travel of this nature involves certain inherent risks. These risks may include hiking, walking safaris, climbing injuries, altitude sickness, encounters with dangerous animals, limited access to medical care, and challenges in evacuating from remote locations in the event of a medical emergency. By participating in these trips, passengers acknowledge and accept all such risks.

Travel Advisories/Warnings: It is the responsibility of The Traveler to become informed about the most current travel advisories and warnings by referring to the U. S. State Department’s travel website at www.travel.state.gov/ or by phone at 1-888-407- 4747. In the event of an active State Department Travel Warning against travel to the specific destination location(s) of the trip, should The Traveler still choose to travel, notwithstanding any travel advisory or warning, The Traveler assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against.

COVID-19 has had a significant impact on the travel industry, leading governments and travel suppliers to implement a range of health, safety, hygiene, security, and other measures to ensure the well-being of travelers. These measures, collectively known as the "Covid Measures," are to be followed before, during, and after your trip.
Due to the ongoing pandemic and the implementation of Covid Measures, travelers may encounter various challenges, including extended wait times, travel delays, changes to trip itineraries, and unexpected costs related to Covid-19 testing and other health protocols. These challenges could result in trip cancellations, difficulties gaining entry to certain destinations, and the need for unexpected medical treatments or quarantine measures. It is important to note that the situation surrounding Covid-19 and the associated measures is constantly evolving, with changes occurring on a daily basis and varying from country to country. As a result, the risks and costs outlined above are not exhaustive and may be subject to change. Travelers should stay informed about the latest developments and guidelines related to Covid-19, and be prepared for potential disruptions to their travel plans. By staying vigilant and flexible, travelers can navigate these uncertain times with greater ease and peace of mind.
You and your traveling companions, who have booked a trip with Vip Tralux through you, acknowledge that you must comply with all Covid Measures at your own cost and risk. This means you agree to cover any expenses related to Covid-19 and following Covid Measures, in addition to your trip price. You are responsible for these costs and must pay them. By agreeing to this, you, your traveling companions, and your families release Vip Tralux from any liability related to Covid-19. This includes any claims, demands, actions, or causes of action arising from any loss, damage, or injury caused by Covid-19 or similar viruses. Covid Measures are subject to frequent updates and can be found on government and travel supplier websites. It is recommended that you check these websites regularly before and during your trip to stay informed.
Arbitration Agreement: Any disputes or claims arising from these Terms and Conditions, the Responsibility Clause, the brochure, or any information related to the trip, or the trip itself, will be resolved through binding arbitration in Texas, USA. The arbitration will be conducted in accordance with the rules of the Arbitration Association in effect at that time.

Traveler Representations: The traveler affirms that neither they nor anyone accompanying them has any physical or other condition that could pose a risk to themselves or others on the tour. Vip Tralux retains the right to refuse acceptance to any individual on a trip. Additionally, Vip Tralux reserves the right to exclude, at the individual's own cost, anyone whose condition may endanger themselves or others, or disrupt the experience of fellow passengers on the tour.
