When we refer to "we," "us," "our," or "VIP TRALUX," we mean VIP Luxury Travel Advisor, a Texas-based company specializing in luxury travel planning. The terms "you," "customer," or "traveler" refer to individuals who visit our website, use our services, and make bookings through our customer service agents.
1. Participation and Payment Processing
To secure your booking for your luxury vacation, a deposit of 35% is required. Payments can be made via credit card, certified check, wire transfer, or money order. The remaining balance must be paid 90 days before your departure date. For bookings made within 90 days of departure, full payment is required upon confirmation.
2. Cancellation Policy
Cancellation of confirmed reservations entails a $550 per person administrative fee. Additional cancellation fees may apply as imposed by service providers including hotels, airlines, and rail companies in your itinerary.
Cancellations 90 or more days before departure: Full refund minus a $350 administrative fee.
Cancellations between 60–89 days before departure: Loss of deposit (30% of total trip price).
Cancellations between 30–59 days before departure: Loss of 50% of total program price.
Cancellations made 29 days or less from departure: Full forfeiture of program price.
3. Trip Insurance
We highly recommend purchasing trip cancellation insurance and baggage insurance to protect your investment against unforeseen events such as illness or accidents. Trip cancellation insurance may be your only option for reimbursement in case of cancellation.
Please note, VIP TRALUX is authorized to sell travel insurance only to U.S. passport holders residing in the United States. By purchasing insurance through VIP TRALUX, clients confirm their U.S. passport status and residence. VIP TRALUX is not liable for any false information provided by clients.

4. Passports and Visas
For all luxury travel destinations, a valid passport is essential. We highly recommend verifying the most current visa requirements by contacting the relevant embassy or consulate before traveling.
5. Baggage Guidelines
Please be aware that weight restrictions may apply on internal flights within your itinerary. Baggage and personal belongings remain the traveler’s responsibility throughout the entire luxury travel program. It is advisable to consult with your airline to confirm any additional baggage restrictions for both domestic and international flights.
6. Pricing and Changes
Tour prices are based on current exchange rates, tariffs, and taxes at the time of booking. VIP TRALUX reserves the right to adjust prices to accommodate changes in costs, tariffs, taxes, or foreign exchange fluctuations. We may also modify or cancel tours, itineraries, or inclusions as necessary.
Please note that itineraries and scheduled sightseeing activities may change due to unexpected events. While we aim to follow the final itinerary closely, adjustments can be required even after distribution.
7. Promotional Photography
During our luxury travel programs, VIP TRALUX may take photographs for promotional purposes. By booking with VIP TRALUX, travelers consent to the use of their images. If you prefer to opt out of photography use, please notify your travel leader at the beginning of your trip.
8. Claims and Refunds
Refunds for missed services during your luxury travel experience will only be issued under exceptional, verifiable circumstances. To submit a claim, please provide written documentation within 30 days of your program’s conclusion.
Refunds or adjustments are based on the actual cost of services rendered and do not apply to unused sightseeing or meals. VIP TRALUX will not process claims submitted after the 30-day deadline from trip completion.
9. Air Transportation
VIP TRALUX is not responsible for errors in airfare bookings made by third-party agents. Travelers must verify all flight details on their confirmed itinerary. Airlines assume no liability for events occurring when passengers are not onboard.
10. Limits on Responsibility
VIP TRALUX, its employees, agents, and affiliates do not operate any transport, lodging, or services but act as agents in arranging these through independent suppliers. We are not liable for negligence or willful acts of these third-party providers.
Travel involves inherent risks, including illness, mechanical failures, wildlife encounters, and global health events such as COVID-19. Travelers accept these risks by participating and agree to comply with all required health and safety measures.
Disputes arising from these Terms and Conditions shall be resolved exclusively through binding arbitration in Texas. Travelers affirm they are physically and mentally fit for the trip. VIP TRALUX reserves the right to refuse participation if a traveler poses a safety risk or disrupts the group experience.
