Booking, Payment Processing & Secure Reservations for Luxury Travel
To confirm your tailored luxury vacation with Vip Tralux, a 35% deposit is required. We accept all major credit cards, certified checks, wire transfers, or money orders. The final balance is due 90 days prior to your departure date. For last-minute bookings made within 90 days of travel, full payment is required at confirmation to secure your reservation.
Cancellation Policy for Custom Luxury Travel Experiences
We understand plans can change. Cancellation of confirmed bookings will incur a $450 administrative fee per person. Additional fees may apply from partners—such as luxury hotels, airlines, or rail operators—depending on their policies.
Cancellations 90+ days before departure: Full refund minus $350 administrative fee.
Cancellations 60–89 days prior: Deposit (35%) is non-refundable.
Cancellations 30–59 days prior: 50% of total trip cost forfeited.
Cancellations within 29 days of departure: Full trip price non-refundable.
Trip Insurance Recommendations for Safe and Stress-Free Travel
We strongly recommend purchasing comprehensive trip cancellation insurance to protect your investment against illness, accidents, or unforeseen changes. Baggage insurance is also advised for added peace of mind.

Passport & Visa Information for International Luxury Travel
To ensure smooth travel, a valid passport is required for most international destinations. Visa requirements vary — we recommend verifying with the destination's consulate or embassy for the latest entry regulations well before your departure.
Baggage Policy for Luxury Travel with Vip Tralux
When flying on internal flights within your luxury travel itinerary, please be aware that strict baggage weight restrictions may apply. Travelers are fully responsible for their baggage and personal belongings throughout the entire travel program. We highly recommend consulting your airline in advance to understand specific baggage allowances and any additional restrictions for both domestic and international flights to ensure a seamless journey.
Changes to Tour Pricing and Itineraries
Vip Tralux luxury tours are priced based on current exchange rates, tariffs, and taxes. We reserve the right to adjust tour prices to reflect changes in these factors as well as any increases in operational costs.
Additionally, while we strive to deliver the planned itinerary, we may modify or cancel tours, adjust activities, or change inclusions as necessary due to unforeseen circumstances beyond our control. Any resulting additional expenses or losses may be passed onto travelers as applicable. Please note that scheduled sightseeing and events are subject to change, even after the final itinerary distribution.
Promotional Photography Consent
During Vip Tralux luxury tours, we may capture photographs for promotional use. By booking with us, travelers consent to the use of their images in marketing materials. If you prefer not to have your photographs used, please notify your travel program leader at the start of your trip so we can accommodate your wishes.
Claims and Refund Policy
Refunds for missed services are generally not issued except under exceptional, verifiable conditions. All claims must be submitted in writing within 30 days of completing the travel program, accompanied by relevant supporting documentation or an official statement from the operating company.
Adjustments, if approved, will be based on the actual cost of services rendered rather than on a daily pro-rata basis. Please note, refunds will not be provided for unused sightseeing experiences or meals.
Vip Tralux will not accept liability for any claims submitted after the 30-day deadline from the end of your trip. Claims related to missed travel days must also follow this submission deadline to be considered.
Air Transportation & Flight Booking Policies with Vip Tralux Luxury Travel Advisor
At Vip Tralux, we prioritize seamless air travel experiences, but please note we are not liable for any errors or inaccuracies in airfare reservations made through third-party booking agents.
Travelers will receive comprehensive flight details on their confirmed itinerary webpage and are responsible for verifying the accuracy of arrival and departure information to ensure smooth connections.
Our independent agents work diligently to secure the best available airfare in your requested travel class, though certain fares may include additional service fees. Airline cancellation penalties may apply when changes are made.
Airline liability is limited to events occurring during actual time aboard the aircraft. Many programs operate with IATA-certified carriers subject to international air conventions, with liability terms detailed on airline tickets.
Limits of Responsibility – Travel Protection & Disclaimers
Vip Tralux, including its employees, agents, officers, and affiliates, acts solely as an agent arranging travel services through independent suppliers. We do not own or operate transportation or accommodation providers and are not responsible for their actions or omissions.
Vip Tralux disclaims liability for injuries, accidents, delays, losses, or damage caused by third-party suppliers or unforeseen events including weather, strikes, terrorism, war, or natural disasters.
Travelers are responsible for ensuring valid travel documents. Vip Tralux holds no responsibility for costs arising from incorrect or incomplete documentation.
Vip Tralux reserves the right to modify itineraries or cancel tours to protect safety and quality. Refunds may be issued when applicable, excluding force majeure events.
COVID-19 Travel Policies & Health Safety Measures
COVID-19 protocols enforced by governments and suppliers may result in delays, costs, or itinerary changes. Travelers must comply with all requirements at their own expense.
By booking with Vip Tralux, travelers agree to release us from liability related to COVID-19 or similar illnesses.
Traveler Representations and Arbitration Agreement
Travelers confirm they are physically and mentally fit to participate. Vip Tralux reserves the right to remove participants who pose risks to themselves or others.
Any disputes arising from these terms shall be resolved exclusively through binding arbitration in Texas under applicable Arbitration Association rules.
